Trip Leader's Checklist
(Print for your Preparation)

Before the trip:

Review schedule of trips sent to you by your program coordinator. Contact your coordinator if you need an updated version e-mailed to you.
Enter description and other information about your trip onto the Adventuring web site via the Trip Leaders Page; see your program coordinator for further information if you need it. As soon as your trip description is processed by your coordinator, it will appear on the web site and then will be printed in the next month’s newsletter, as long as your trip appears on the web site BEFORE the newsletter deadline, the 21st of each month. (New trip leaders should instead use the "Suggest a Trip" button provided on the website's main page.)
For posting an impromptu trip, you may want to alert the program coordinator for more immediate processing.
Plan the event, including any lunch and/or snack breaks.
If appropriate, prepare and copy cue sheets and carpool directions for participants.
Respond to phone and e-mail queries. Alert callers as to weather contingencies; arrange carpool if appropriate. Try to screen out persons who are obviously inappropriate for your particular event due to lack of experience or equipment. Keep telephone numbers of interested parties in case you need to call them to cancel or rearrange plans.
Make arrangements for any special events (home visits, restaurant reservations, etc.)
From the website, print (or, if necessary, request from your program coordinator) copies of the REQUEST AND RELEASE FORM.
   

Day of the Trip:

Arrive at designated meeting site several minutes ahead of planned meeting time.
Have all participants (including yourself) sign waiver forms.
Collect $2 from each participant ($4 for overnight trips).
Calculate, collect, and disburse carpool monies from appropriate participants (see Leaders' Guide for formulas).
Take name and address of anyone wishing a complementary newsletter.
Lead your event! Do your best to prevent participants from getting lost and from taking unsafe actions. Make sure that everyone who starts the trip finishes it unless they make other arrangements.
Carry a small first aid kit and a few tools (such as a patch kit) if appropriate.
   

After the trip:

Mail within ten days to the address given on the release form: a check for all trip fees (You need not pay for yourself.), the release forms, and names of participants requesting a newsletter.
If the event was cancelled, write cancelled on the waiver form and mail it.
If at all possible, enter a trip report and photos on the website.
Select the TRIP REPORT option on the leaders' page. It will be posted to the website and published in the newsletter after processing.
Report to your program coordinator any special problems that may have occurred.
